Accommodation Terms and Conditions
These terms and conditions ("Agreement") are entered into by the Party Leader ( referred to as the "Client', "you" or "your") and Cookswood Holiday Retreats (hereinafter referred to as the "Service provider" and also as "we", "our" or "us"). Client and Service provider will be collectively referred to as the "Parties" and separately as the "Party" in the following.
The party leader will receive all correspondence and documentation. This party leader is responsible for all payments on the booking, as well as keeping party members aware of booking information and any cancellation fees. At the time of booking, the party leader must be at least 18 years old.
Please double-check your confirmation and any other documentation upon receipt. If any details are inaccurate, you must notify us within 7 days of booking.
When both a deposit (or full payment within 10 weeks before your travel date) and our confirmation invoice is paid, a contract between both the service provider and the Party Leader is established.
A 25% deposit of the entire rental cost is due immediately (this deposit cannot be transferred or applied towards the deposit of another of our goods). If you book within 10 weeks of your travel date, the whole price is payable at the time of booking. For refund and deposit inquiries, please see our cancellation and limitations section below, within these terms and conditions. Other terms and restrictions may also apply and these will be provided at the time of booking. The rest of your holiday fee is payable 10 weeks before your travel date, as shown on your confirmation invoice. We retain the right to regard your trip as cancelled if all funds are not received by the due date. A fee of up to 100% of the entire invoice amount may be payable. We retain the right to change the displayed pricing at any moment. The cost of your preferred accommodation will be verified at the time of reservation. Future cost increases will not be added to your reservation once it has been confirmed. If you change your booking once it has been confirmed, we retain the right to raise the prices to those that are currently displayed.
If you are travelling from another country, you must confirm and meet the passport, visa, health, and immigration requirements that apply to your booking. Check the regulations for your specific situation with the relevant embassies and/or Consulates, as well as your doctor, if applicable. As travel requirements can change regularly, it is critical to verify that you hold the most up-to-date information before travelling.
Most countries now require passports to be valid for at least 6 months beyond the date of return. If your passport is approaching its expiration date, you should verify with the Embassy of the country you intend to visit.
The Foreign and Commonwealth & Development Office provides up-to-date travel information on its website. We assume no responsibility if you are unable to travel or experience any other loss as a result of failing to comply with any passport, visa, immigration, or health regulations. You also agree to compensate us for any penalties or other damages incurred as a consequence of your failure to comply with any passport, visa, immigration, or health requirements.
Our holiday homes are located near residential towns and neighbourhoods. Parties with more than the number of individuals permitted in each residence are prohibited.
Check-in and Check-out times are chosen during the holiday booking in process and are listed as 1 hour slots between the times of 8am-12pm and 2pm-8 pm for you to choose from. Anything outside these hours 1 of 3 must be verified in writing before arrival, and additional fees may also be charged. Entering the property before the agreed-upon check-in time or staying past the agreed-upon check-out time is not permitted, and Cookswood Holiday Retreats may contact law authorities to help them if you violate these restrictions.
It is in your best interest to inspect the property for defects and breakages when you arrive. Please obtain photographic documentation of any defects or breakages and and report these Cookswood Holiday Retreats. After 24 hours, you will be held responsible for any damages or breakages. The property will be inspected promptly following check-out. If any breakage or damage occurs during your stay, you must immediately inform Cookswood Holiday Retreats. If the expense of repair or replacement falls on you, Cookswood Holiday Retreats will inform you and expect the charges to be settled during your stay. If you need to modify your holiday plans, we will try our best to accommodate you, however, you must first submit a written request. Any modifications made become effective after we provide you with written confirmation. Please note that an administrative fee will be charged.
You must contact us in writing if you desire to cancel your holiday. Cancellations are effective as of the day they are received at our bookings office. As soon as feasible, a cancellation notification will be provided. Cancellations made after the deposit has been paid but before the balance is due will result in the deposit being forfeited. Cancellations made after the payment of the balance and with less than 10 weeks until the commencement of the holiday will lead to the forfeiture of all monies paid.
Parents must monitor their children at all times, especially near open water, our spa facilities, and other buildings, and while entering buildings with slippery surfaces.
We occasionally have to make modifications to, and fix inaccuracies on, our website and other data, both before and after confirmed bookings, as well as cancel confirmed bookings. While we make every effort to prevent modifications and cancellations, we retain the right to do so.
We occasionally need to make adjustments in accommodations. Property owners in the tourism sector may periodically decide to sell their holiday home, causing them to be unavailable. Unfortunately, this is an inescapable and a pervasive issue. This is not a "major" change because we can nearly always supply comparable substitutes. Although needing to rearrange your accommodations is uncommon, if it does occur, we will move quickly to correct the problem. If we have to make such a modification to your reservation, we will notify you as quickly as possible and offer you a comparable property (to accommodate your booking size with a property of a similar style or standard). We ask that you accept these new arrangements within three days so that we may make changes to your booking; if you do not agree within three days, we will book the alternative property for you. We will occasionally provide higher-quality options, but they may be subjectto a price rise that you must pay. If we are unable to offer you a comparable level property to your first, you will be entitled to a full refund of any fees paid to us. We can generally resolve an issue like this within 7 days.
In the unlikely case that you have a complaint during your stay, you must notify Cookswood Holiday Retreats as soon as possible. (Details will be sent in the final confirmation message after the full amount is received.) This enables us to make things fixed for you immediately. If you are not happy with the solution suggested or delivered, please notify us promptly in writing. We will make every effort to address the situation swiftly and professionally for you.
However, if you make a complaint to us after your stay has ended and you have not previously raised the concerns to Cookswood Holiday Retreats while you were property, we will be unable to deal with your complaint because you have not allowed us to rectify matters during your stay and it will be difficult to verify your complaint as new guests may already be in the property.
It is a requirement that visitors and their parties have proper travel insurance. The property owner and Cookswood Holiday Retreats are not liable for any incidents, burglary, theft, illness, injury or damages that occur to the visitor or their party. The guests must secure the home and its contents, as well as their property, from damage, theft, or loss. All such instances should be immediately reported to us so that a record may be established.
If you are injured or become unwell while on vacation for reasons unrelated to our arrangement, we will make every effort to give advice and support, provided you contact us about this.
We have the right to cancel your vacation arrangements with us if, in the opinion of any person in authority, you appear to be unsuitable or are likely to cause disruption or damage to the holiday home. We also retain the right to cancel any booking made under false premises, groups that exceed the property's maximum capacity, or for other legal reasons. Because Cookswood is a fast-developing community, construction may take place in or near the development where your property is located. We have no authority over this and take no responsibility for any annoyance or disruption caused by this construction. We will not be obligated to make alternate lodging arrangements, nor will we pay or refund any expenditures you incur. However, we will make every effort to find alternate accommodation for you if they are available.
Cancellations and Limitations
If you need to cancel your reservation, you will lose a portion of your deposit payment:

Cancellation within TIME of arrival: 20% of deposit payment forfeited

Cancellation within TIME of arrival: 50% of deposit payment forfeited

Cancellation within TIME of arrival: 100% of deposit payment forfeited

If government laws prevent leisure travel and bookings from being performed, all bookings will be immediately postponed at no additional cost.

If a visitor decides to cancel their reservation, they will be charged a 15% cancellation fee.
Booking fees must be paid for the duration of the reservation. No refunds will be authorised for early departure, delays in arriving or failing to arrive, or for any circumstance whatsoever. After payment has been completed and property owners have been paid to secure the booking, property replacements will not be permitted.
We cannot and will not accept responsibility for any cancellation, change, or amendment to your booking caused by riot, civil unrest, industrial action, natural or nuclear disaster, fire, adverse weather, technical difficulties, airport closure or traffic, airline cancellations or schedule changes, or other events beyond our control.
You are presumed to have agreed to our terms and conditions by making a reservation with us.
All contracts with us are governed by the terms of these booking conditions, are regulated by English law, and are subject to the exclusive jurisdiction of English courts.
